Set a minimum for each item. When it drops below, you are told on WhatsApp with a suggested order.
Raise, approve and send purchase orders to suppliers, with their past prices next to each line.
What arrived is checked against the order, so short and damaged supply is caught at the door.
Count with a phone, see the difference, and approve the correction with a reason.
Purchases and sales are sent to Tally or Zoho Books, so your accountant does not type them again.

How it goes
Each phase has a fixed price and a date. You pay 50% at the start, 30% at the first go-live and 20% at handover, then a monthly fee for servers and support that you can stop whenever you like.
